Owner guide

Managing orders

An order is always a separate, explicit step. A quote that a buyer accepted is not an order, and nothing is held until an admin confirms. This guide covers the orders you receive from business buyers and the orders you send to your own suppliers.

Orders you receive

The buyer asks to order an accepted quote. That creates a pending order with a reference beginning with O-, and your admins are alerted.

A quote that expired before you confirm cannot become an order: send a fresh quote. No payment is taken, stock is not reserved and delivery is not tracked.

Orders that book something

If your business takes bookings, a service, ticket, room or tour line must state its date, time and people (for a room: check-in, nights and guests). When you confirm the order, the bookings, stays and tour bookings are made in your own calendar, all of them or none. If one line no longer fits, the confirmation is refused, the order stays pending and you are told which line.

Cancelling a confirmed order cancels its bookings, except a stay whose guest has already checked in. A booking held by a confirmed order cannot be changed on its own.

Orders you send to suppliers

From a supplier's offer, Order sends an order for exactly the offer you reviewed, on one admin's CONFIRM. It cannot be called back from that review. With a supplier linked on the platform, the order's state is followed afterwards (pending, confirmed, fulfilled, declined or cancelled), each change is announced to you, and you may ask to cancel while the supplier has not decided.

An order reported as uncertain may or may not exist at the supplier: check with them directly. A supplier reached through its own endpoint does not report order status. No order is sent to a supplier reached on WhatsApp.

Where you see them

The dashboard's Orders card shows business orders beside ordinary purchases, with the quantities, prices and terms that were quoted. In Settings, each connected account has an Order alerts switch, so orders can go to one account and bookings to another. If no account has order alerts on, they go to everyone, so an order is never left unseen.
